In ATB Invoicing, every quote and invoice displays a status badge indicating its current place in the billing lifecycle. This article explains what each status means and how documents transition between them.
Shared statuses (Quotes & Invoices)
- Draft: The document has been created and saved, but has not yet been shared with the customer.
- Sent: The document has been delivered to the customer via email or text message, or a user manually selected Mark as Sent.
- Viewed: The customer opened the unique permalink to view the document. (Note: This status tracks permalink activity automatically. It cannot track if a downloaded PDF has been viewed)
- Void: The document has been cancelled by a user and is no longer active or actionable.
Invoice-specific statuses
- Scheduled: The invoice is set up to automatically send at a future date and time.
- Paid: Payment has been received and recorded. This occurs either automatically (currently only available via Interac e-Transfer reconciliation) or manually when a user selects Mark as Paid.
- Overdue: No payment has been recorded and the invoice due date has passed.
- Uncollectible: An invoice that is more than 90 days overdue can be manually marked as uncollectible for accounting and reporting purposes.
Quote-specific statuses
- Accepted: The customer accepted the quote through their permalink, or an account user manually marked it as accepted. Accepted quotes automatically convert into draft invoices.
- Rejected: The customer declined the quote through their permalink, or an account user manually marked it as rejected.
- Expired: The customer made no decision (neither accepted nor rejected) before the quote's specified expiry date.
